This explains what personal data Get AI Powers Ltd collects, why, how long we keep it, and what you can ask us to do about it.

Get AI Powers Ltd is the data controller for the personal data described here. We are registered in England and Wales, company number 16179779. You can reach us at george.cairns@getaipowers.com.

Registered office address, and the ICO registration number if Get AI Powers Ltd is registered with the Information Commissioner's Office. Most UK companies processing personal data electronically need to pay the data protection fee, so check the registration status rather than assuming either way.

What we collect, and why

When you email us or book a session

Your name, your email address, your company, and whatever you choose to tell us about the work you want help with. We use it to answer you and to run the engagement if you become a client.

The lawful basis is legitimate interests for an initial enquiry, because you contacted us and replying is what you wanted, and performance of a contract once we are working together.

When you subscribe to anything

Your email address, and your name if you give it. The lawful basis is consent, which you can withdraw at any time using the unsubscribe link in any email we send, or by emailing us. We do not add you to a mailing list because you sent us a question.

The email platform. Listed as unconfirmed in docs/03-CONTENT-SOURCE-OF-TRUTH.md section 2 and it blocks the newsletter component. Name it here as a processor once chosen, with where it stores data, because a US-based processor needs the international transfer paragraph below completing too.

When you visit this website

Analytics about how pages are used. This site sets no advertising cookies and does no cross-site tracking. What is set, and how you refuse it, is in the cookie notice.

Who we share it with

We do not sell personal data and we do not pass what you tell us to anyone for their own purposes. We use service providers who process data on our behalf and only on our instructions, such as email and hosting.

The list of processors: hosting provider, email provider, analytics provider, booking tool, CRM if any. Each needs naming with what it processes and where. This list must be accurate rather than illustrative, because a data subject can ask for it.

International transfers

Some of our providers are outside the UK. Where that happens we rely on UK adequacy regulations or on the International Data Transfer Agreement, or the Addendum to the EU standard contractual clauses.

Confirm which mechanism applies to each non-UK processor once the processor list above is settled. If every provider turns out to be UK or EU based, delete this section rather than leaving a transfer claim that does not apply.

How long we keep it

Retention periods. Enquiries that do not become clients, client records, and subscriber records each need a stated period and a reason. Note that UK company and tax records have their own statutory minimums, which usually set the floor for client billing records.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct it if it is wrong
  • delete it, where we have no overriding reason to keep it
  • restrict or object to how we use it
  • transfer it to someone else, where that right applies
  • stop sending you marketing, which we will always act on immediately

Complaints

If you think we have handled your data badly, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling their helpline. Complaining to us first does not affect that right.

Changes

When this notice changes we will update the date at the top. If a change materially affects how we use data you have already given us, we will tell you directly.
